Aquma Privacy Policy

Aquma LLC (“Aquma,” “we,” “us,” or “our”) operates aquma.io and provides RevOps and CRM data-quality consulting services. We take the privacy of website visitors and clients seriously. This policy explains what information we collect, how we use it, and the limited circumstances in which it is shared.
The short version, in plain terms: we do not sell your personal or business information, and we do not share it with third parties for their own marketing or any other independent use. The outside parties that handle it are the software tools we use to run the business and to deliver our work, which process it on our behalf and under their own terms. Wherever you are located, you can ask us for a copy of the information we hold about you, or ask us to correct or delete it. The rest of this policy fills in the details.
Who this policy covers
This policy applies to:
• Visitors to aquma.io.
• People who contact us or request a call through the site.
• Clients and prospective clients whose information we handle while providing our services.
Information we collect
Information you give us. When you contact us, request a call, or work with us, we may collect your name, business email, company name, role, and anything you choose to include in your message.
Information collected automatically. When you visit aquma.io, our website host and analytics tools may collect standard technical information such as your IP address, browser type, device, pages viewed, and the site that referred you. We use this to understand how the site is used and to keep it working.
Client engagement data. When you engage us, you may give us access to your CRM and related business systems so we can do the work. This can include your company’s customer and prospect records, pipeline data, and related business information. We treat this as confidential and handle it under the terms of our written services agreement with the client, which sets out our obligations when we process personal data on your behalf. We access only what the work requires, we use it only to deliver the engagement, and we do not use it for any other purpose.
How we use information
We use the information we collect to:
• Respond to your inquiries and schedule conversations.
• Provide, deliver, and support our services.
• Operate, maintain, and improve aquma.io.
• Send service-related messages and, where you have agreed, occasional updates.
• Meet our legal and contractual obligations.
How information is shared
We do not sell your personal or business information, and we do not share it with third parties for their own marketing or independent use.
We do rely on trusted service providers to run the business and deliver our work. These providers process information on our behalf, under their own terms and security commitments, and only as needed to provide their service to us. They include, for example:
• Our website host and design platform (Framer).
• Our CRM, email, and productivity tools (such as HubSpot and Google Workspace).
• Our billing, scheduling, and similar operational tools.
• AI-assisted analysis tools, where a piece of work calls for them.
We may also disclose information if required by law, regulation, or valid legal process, or to establish or protect our legal rights. If the business is ever sold or transferred, the information may transfer as part of that transaction, and this policy would continue to apply to it.
International data transfers
Aquma is based in the United States, and the service providers we use process information in the United States. If you visit or contact us from outside the US, your information will be transferred to and processed in the US, where data-protection laws may differ from those in your location. This policy covers our website and our own dealings with you. Where we provide services to a client, our handling of personal data in that engagement is governed by our services agreement with that client, including its data-processing terms.
How we protect information
We use reasonable administrative and technical measures to protect the information we hold. That includes least-privilege access, meaning we grant ourselves and our tools only the access a piece of work actually requires, and careful handling of any client systems we touch. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we take the protection of your information seriously.
How long we keep information
We keep information only as long as needed for the purpose it was collected, and then we delete or de-identify it. In practice: inquiry and scheduling information is kept while we are in contact and for a reasonable period afterward for our business records; client engagement data is retained or returned as set out in our written services agreement; and website analytics is collected through our cookieless tool in anonymized form, and, with your consent, through HubSpot, which retains it under our HubSpot data settings. We may keep information longer where the law requires it or to establish or defend legal claims.
Your privacy rights
Wherever you are located, and as a matter of our own practice rather than because a particular law requires it, you can ask us for a copy of the personal information we hold about you, ask us to correct or delete it, or ask us to stop or limit a particular use of it. To make a request, email us at hello@aquma.io. We will respond within a reasonable time, and we may need to verify your identity first. You can opt out of any non-essential emails at any time. We will not discriminate against you for exercising these rights.
State and international privacy laws
Comprehensive privacy laws, including the California Consumer Privacy Act, apply only to companies above certain revenue and data-volume thresholds. Aquma is below those thresholds, so those laws do not currently apply to us, and nothing in this policy is intended to grant rights under them. The choices described above are available to you regardless. If those laws begin to apply to us, we will update this policy and comply with them.
The categories of personal information we collect through the site are:
• Identifiers, such as name and business email.
• Professional or employment information, such as company name and role.
• Commercial information, such as the content of your inquiry.
• Internet or network activity, such as how you use the site, collected through our cookieless analytics and, with your consent, through HubSpot’s analytics cookies.
We collect this information directly from you and automatically from your device, and we use it for the purposes described in this policy. We do not sell personal information, we do not disclose it for advertising purposes, and we do not ask for or use sensitive personal information beyond what is necessary to provide our services.
Cookies and similar technologies
aquma.io uses cookies and similar technologies. Cookies are small files placed on your device that help a website function and help us understand how it is used.
We use them in these categories:
• Strictly necessary cookies, which our website platform (Framer) sets so the site loads and works properly. These are always on and are not used to track you across other sites.
• HubSpot analytics cookies, set by our CRM to understand how visitors use the site and, where you become a known contact (for example, by booking a call), to associate that activity with your contact record. These are not strictly necessary and are set only after you consent. Examples include hubspotutk, __hstc, __hssc, and __hssrc.
We also use Framer’s built-in, privacy-first analytics, which measures visits without cookies and without identifying you.
When you first visit aquma.io, you will see a cookie banner that lets you accept or decline non-essential cookies before they are set. You can change or withdraw your choice at any time through the Cookie Settings link on the site, and you can block or delete cookies through your browser settings, though turning off strictly necessary cookies may affect how the site works.
We do not use advertising or social media tracking cookies, and we do not share visitor information with advertising networks. Our booking page embeds HubSpot’s scheduling tool, which sets HubSpot’s own cookies while you are on that page, under HubSpot’s terms and cookie notice.
Other websites
aquma.io may link to websites we do not control. This policy does not cover those sites, and we encourage you to read their own privacy policies.
Children
aquma.io is a business website. It is not directed to children, and we do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date above, and any material change will be reflected on this page.
